Job Description

Finance Operations Specialist II

The Finance Operations Specialist II is a finance position that assists with financial matters that include some of the following business processes: expense transactions, basic accounting, budget review, accounts payable, accounts receivable, business assets, grants management, or gifts management. The position also understands university financial policies, financial guidelines required for that area, and provides guidance to unit personnel on these matters.

What you will be doing in this position:

Travel & Expense Management

  • Conducts training on travel policy and procedures.
  • Assists library employees with travel planning.
  • Assists with travel expense reporting including creating expense reports.
  • Executes expense transactions for others, including creating and editing expense reports.
  • Offers procurement services, including making, finding, and checking requisitions and receipts.
  • Conducts routine operational purchasing (with P-card under $3500) as needed.

Financial Accounting and Budget Management

  • Responds to general inquiries related to financial accounting, budgeting, and planning, and taxes, including questions about policies, programs, and process; system navigation/use; transaction/business process status or issues; etc.
  • Executes common accounting transactions, such as: initiating an accounting journal entry; initiating adjustment accounting journal or reversal accounting journal entries; adding/deleting attachments to/from a journal entry; creating budget transactions; etc.
  • Prepares and/or conducts initial review of account reconciliations, confirming subledger or subsystem balance to the general ledger.
  • Prepares account reconciliations and records adjustments, as needed.
  • Assists with tracking and audit observation of organization assets.

Accounts Payable and Receivable

  • Responds to general inquiries related to accounts payable and/or accounts receivable including questions about policies, programs, and process; system navigation/use; transaction/business process status or issues; etc.
  • Executes common accounts payable and/or accounts receivable services such as finding and viewing supplier invoices, generating customer invoices, depositing manual checks, etc.
  • Resolves discrepancies and/or vendor or customer problems.

Other

  • Resolves escalated first level inquiries related to all areas of finance.
  • Provides finance operations training to student employees.
  • Monitors effectiveness of procedures and proposes changes where necessary to maintain compliance.
  • Participates in the university’s controllers’ group.
  • Processes student payments including scholarships.

What qualifies you for this role:

 Minimum education/experience required:

  • Associate’s degree or minor in Accounting, Finance, or Business-related area plus two years of related work experience or equivalent combination of education and experience.

Preferred:

  • Bachelor’s degree in Accounting, Finance, or Business-related area plus three years of related work experience
  • Experience with BYU accounting systems, processes, and procedures

Skills, abilities, knowledge, licenses, certifications:

  • Knowledge of accounting principles, and use of related software.
  • Analytical and problem-solving skills.             
  • Knowledge and application of basic accounting principles (assets & liabilities, revenue & expense, and accrual accounting)
  • Competent in application of standard procedures and policy compliance for routine transactions.
  • Intermediate skill level in Microsoft Excel (i.e., formulas, conditional formatting, filters)
  • Proven successful experience handling multiple demanding projects and deadlines.
  • Professionalism, efficiency, and ability to maintain confidentiality. (required)

Pay Grade: 51

Typical Starting Pay: $28.25-$35.25
